Smooth e-signing for boards becomes even more powerful
Hippoly has become the obvious choice for numerous boards when it comes to e-signing minutes, annual reports, and other important documents. Appropriate signing workflows tailored for boards and the ability to include signing parties outside the board have made Hippoly’s e-signing a highly appreciated and frequently used feature. Now we are launching a number of improvements that make the e-signing feature even more powerful and give you as a user greater flexibility to customize your signing workflows according to different needs.
1. Set signing order
Sometimes there is a need to control the order in which different people sign a document. One example is where the auditor should sign a document after the board has signed. With the new setting Signing Order, you can easily specify when each signer should be able to sign and get notified by email that the document is ready to sign.
The setting is made when a new signing is initiated by first adding the signers and then clicking on Set Signing Order. Next to each party, a drop-down menu is displayed where you can choose when in the order the party should sign. Note that you can have the same choice for several parties, for example 2nd. This means that these parties will receive an email to sign the document only after the party or parties with signing order 1st have signed. If it is the case that a specific party should sign after all others have signed, as in the example above with the auditor, simply choose the option When others have signed for that party.
2. Choose signing method
When you start a new signing process, Hippoly automatically suggests the signing method each party should use based on how the user logs into Hippoly. If BankID is used as log in method it will also be suggested as signing method, otherwise the suggested signing method will be PIN sent via SMS.
It is now possible to change the suggested signing method for each party when starting a new signing process and, for example, force the use of BankID even if the party does not use BankID to log into Hippoly. To change the signing method, click the edit button to the right of the party. You can choose between the signing methods BankID, PIN via SMS, or No extra verification (One-click-sign).
3. Update signing party during an ongoing signing
When a new signing process is initiated, information available on the signing parties Hippoly accounts will be used (such as name, email and phone number). This information is used to create the evidence package for the signing and to send emails and any PINs via SMS.
For various reasons, you may need to update this information after the signing has started, for example if a signing party has changed email address but forgotten to update its Hippoly account with the new address. We have now added support to make such updates during an ongoing signing. Simply click Manage signing for the document that is being signed and then click the edit button to the right of the party that needs to be updated. You can change;
- Email address
- Phone number (when using PIN via SMS)
- Signing method
We believe and hope these improvements will come in handy when using Hippoly to e-sign all of the board’s important documents.
